Notes on data protection

What is it all about?

Privacy and personal rights are particularly important to Traveo AG, especially when it comes to handling personal data. In the following, we provide detailed information on the acquisition and further processing of personal data.


By "processing" of personal data we mean any action in connection with data, such as obtaining, storing, retaining, using, modifying, disclosing it, archiving, deleting or destroying it. The term "personal data" refers to information relating to an identified or identifiable person that allows conclusions to be drawn about his or her identity, whether through the data itself or through related additional information.

Traveo AG acts as a "data controller" and processes personal data of interested parties, customers or other persons ("data subjects") who order or purchase services or products. Below you will find general and specific information on the processing of personal data in the context of the services or products of Traveo AG. This data protection notice forms the basis for the processing of personal data in the context of the various business activities of Traveo AG and is designed in accordance with the requirements of the Swiss Federal Act on Data Protection (FADP).


What data do we use?

1.      Master data, case data and contract data
These include:

  • "Master Data" means information that identifies a Data Subject. The data subject may be a person of the Client; The master data includes title, first name, surname, address, date of birth and other information such as employer and insurance number. Master data of an assistant can also be recorded
  • "Case Data" means information about the specific concern of the person and, in particular, the circumstances of the situation in which the person needs the support of Traveo AG. This may include, but is not limited to, travel data, medical data or data about personal life

2.     Usage and Connection Data
This includes:

  • Connection data resulting from the use of the emergency call service as well as recorded voice recordings


3.     Specifications
This includes:

  • Information about the type and settings of your browser
  • Information about addressing elements, such as phone numbers or IP addresses.
  • Technical information (e.g. type, brands, software versions, device IDs as well as settings of your devices (e.g. emergency call devices, alarm buttons, etc.)

4.     Location
This includes:

  • Travel and stay data obtained from manual data import by the admin of the organizations or the traveler himself, or through the GDS data interface
  • Information obtained from Bluetooth, Wi-Fi or GPS signals, IP address or mobile network about where you or the relevant device is at a given time, i.e. when an alarm is triggered
  • Location data that we have received in the course of performing our services

5.     Voice Interaction Data
This includes:

  • Conversations and recording of calls with Traveo Customer Care 
  • Conversations and recording of case management conversations with Assistance 
  • Triggering an alarm by voice control in the event of an alarm event 
  • Transcription, written, machine-readable recording of voice control as texts

 

Use

We use your data for the purpose of:

  • To conclude, perform and terminate your contracts, invoice for services, and to detect, prevent, and remedy misuse of our products or services.
  • Purchase of third-party services on your invoice
  • Developing, expanding and improving services, products, their user-friendliness and our support
  • Fulfilment of legal obligations
  • Communication with customers, suppliers, service providers and partners
  • Provision and operation of infrastructure, website, app
  • Marketing (e.g. mailings, with unsubscribe option, events) and relationship management
  • Market analysis, planning, development of products and services, R&D
  • compliance, industry standards, directives, etc.)
  • Legal Proceedings, Investigations, Crime and Fraud Prevention
  • Training, instruction, further education

Data Origin

In addition to the information you provide to us (through what you tell us and what you do with us), we may also obtain information about you from third-party sources, namely:

  • Information about you from your employer with whom we deal (e.g. Your contact details)
  • Credit reports, references, address update partners 
  • Orders concerning you that we receive from third parties (e.g. if you want us to deliver something to you or do something for you) 
  • Documents relating to you, certificates, powers of attorney (e.g. direct debit authorisations), etc.
  • Excerpts from state registers (e.g. HR) 
  • Third-party recommendations/references to you 
  • Your social media/online activities
  • Publications in which you appear

Data recipients

We share data with

  • Companies 
  • Service providers, distributors and other third parties engaged as contractors for the performance of our services, the provision and maintenance of our products, and sales and marketing, who receive and use your information on their own responsibility or in joint responsibility with us, and from whom you obtain additional services through us.
  • Federal and cantonal law enforcement authorities, other authorities in Switzerland and, if applicable, abroad. Upon appropriate official order, we are obliged to transmit data to the competent authority about your use of the emergency call service or about individual alarm events.
  • Business partners such as suppliers
  • Customers, marketing and project partners
  • Third parties who collect data about you via the website/app (see list on the website). On websites and apps, you may be recognized and tracked using so-called cookies and similar technologies when you use them. You can restrict, block and delete these cookies in your browser (see the corresponding menus) and also control some of this tracking on the website or, if applicable, in the app itself. 

Where is your data processed?

Your data may also be processed abroad, in particular if we involve service providers and distributors for the performance of our services, the provision and maintenance of our products, and the distribution and marketing. In principle, it is conceivable that your data may be processed worldwide (for example, in the case of online services that we use), but in particular in Switzerland or in other countries of the European Economic Area.

Insofar as the processing takes place in countries whose legislation does not provide an adequate level of data protection, the protection of your data is ensured with the legally prescribed precautions as well as appropriate technical and organizational measures.


Duration of data storage

We use and store your data only for as long as it is necessary or technically necessary for the achievement of the purposes, the fulfilment of statutory retention periods and our legitimate interests in documentation. After that, they are deleted or anonymized.


Protection of your data

In order to protect your data against unauthorised or unlawful processing and to secure it against loss, accidental alteration, unwanted disclosure or unauthorised access, we take technical and organisational measures, such as:

  • the encryption and pseudonymisation of certain data
  • Creation of backup copies
  • Logging of accesses and implementation of technical access restrictions
  • the issuance of binding instructions for data processing to our employees
  • the conclusion of protection and confidentiality obligations with our service providers as well as appropriate controls

The content of your communications with third parties will only be recorded if we are obliged to do so on the basis of an order issued by a competent authority based on a corresponding decree or if the recording is part of the service you have purchased (e.g. Alarmevent). 

Unless a special professional secrecy (e.g. medical secrecy) or banking secrecy is applicable in individual cases, we are not subject to any professional secrecy. If you believe that certain of your data is subject to a duty of confidentiality, please let us know so that we can review your request.


Your settings and rights

Even if you are not or no longer our customer, you still have certain rights, such as

  • the right of access to the data processed about you
  • the right to erasure of your data 
  • the right to rectification of your data
  • the right to restrict processing
  • the right to object to data processing and withdrawal of consent
  • the right to the portability of certain data
  • the right to lodge a complaint

If data subjects wish to exercise the above-mentioned rights, they can do so by contacting the person responsible for data processing. Contact details can be found in the section "Contact details for data protection concerns".

Data subjects must note that requirements, exceptions and limitations to these rights apply under the applicable data protection law. In particular, Traveo AG may have to further process and store personal data in order to fulfil a contract, to safeguard its own interests worthy of protection, such as the assertion, exercise or defence of legal claims, or to comply with legal obligations. To the extent legally permissible, in particular to protect the rights and freedoms of other data subjects and to safeguard interests worthy of protection, Traveo AG may also reject a data subject's request in whole or in part (e.g. by redacting certain content relating to third parties or trade secrets). Traveo AG will inform affected persons separately in these cases.


Data processing in connection with websites and online services

Traveo AG is responsible for websites and online services as well as other offers that are clearly recognisable as belonging to Traveo AG and where nothing else is specified. In other cases, specific data protection notices may take precedence over the general data protection notices set out here and define other controllers.

Traveo AG processes data in connection with websites and online services as well as with other offers primarily for the purpose of processing requests when contacting us. In addition, data is also processed when it comes to improvement and optimisation, operation and security as well as the preservation of evidence in connection with the websites and online services as well as the other offers. In addition, data is also used for the submission of individual offers, for marketing purposes as well as for market research purposes and for statistical evaluations, such as customer surveys after the use of the online services.

The websites and online services of Traveo AG may contain links to the websites and online services of other providers (e.g. within the framework of so-called social plugins) to which this data protection information does not apply. The respective data protection notices of the other providers apply.

Personal data will be processed if it is provided when using online services (e.g. by means of a contact form or a direct online contract, live chats, etc.).

Data exchanged over the Internet is often routed through third countries. Website content can be delivered via globally distributed servers in order to optimise the performance and security of the website. In exceptional situations, data can therefore be sent abroad even if the sender and recipient are located in the same country.

However, Traveo AG assumes no liability for damages that may arise from data loss or manipulation. Visitors to the website must ensure that their own system is protected at all times by appropriate protection (e.g. virus protection) and that their own systems and browsers are up to date.

We use cookies and other tracking technologies on our websites. You can make your settings under www.traveo.ch and change them at any time.

Changes

Traveo AG reserves the right to amend this privacy policy at any time without prior notice. The current published version or the version valid for the respective period applies. The data protection notice has been written in several languages. In the event of differences in content, the German version takes precedence.
